an Executive Assistant.
About the role:
We are looking for a highly organized and proactive Executive Assistant to support the Board of Directors.
In this role, you will be a key partner in executive operations, ensuring smooth coordination, well‑prepared meetings, and high‑quality administrative support. You will work closely with senior leaders, handle confidential information with discretion, and contribute to the efficient day‑to‑day functioning of the executive office.
Key Responsibilities:
Provide comprehensive administrative and executive support to Board members,
Organize, coordinate and prepare Board and executive meetings, including scheduling, agenda preparation and minute‑taking,
Plan and organize internal, external and international meetings and events,
Prepare and format business documents, presentations, reports and background materials (including marketing, legal and commercial content),
Track budgets and support financial administration related to Board members’ activities,
Manage confidential documents, approvals, records and documentation processes with discretion,
Support Board members with travel arrangements, correspondence and daily organizational tasks,
Coordinate programs, follow up on action points, and track ongoing activities and deadlines,
Coordinate with Personal Assistants across the group to ensure smooth and professional international meetings,
Welcome and assist visitors, coordinate meeting logistics and catering,
Act as a key point of contact between executives and internal departments,
Perform additional administrative and coordination tasks as assigned by the direct manager.
Requirements:
Higher education degree,
1–3 years of experience in an administrative, executive assistant, customer service or coordination role,
Confident English language skills, both written and spoken,
Strong organizational, multitasking and problem‑solving skills,
Ability to handle sensitive and confidential information with professionalism and discretion,
Excellent communication and interpersonal skills,
Confident user of MS Office tools, especially Excel and PowerPoint,
Flexible, proactive and service‑oriented mindset, with strong attention to detail.
